In this policy, “we”, “us” and “our” mean Marble Cage Limited, trading as Business Rates Eligibility. We are committed to protecting your personal data.

This Privacy Policy explains how we collect, use and protect information when you use this website.

Marble Cage Limited, trading as Business Rates Eligibility, is the data controller for personal information collected through this website.

Business Rates Eligibility is a trading name of Marble Cage Limited, registered in England and Wales, company number 17529115. Registered office: 82, Suite A James Carter Road, Mildenhall, IP28 7DE.

2. What Information We Collect

When you use the eligibility checker or submit a referral enquiry, we may collect:

  • Name
  • Email address
  • Telephone number
  • Postcode
  • Property type
  • Rateable value
  • Appeal status
  • The annual rent you pay under your lease, if you choose to enter it
  • Any additional information you voluntarily provide

If you subscribe to email updates for a council or region, we also keep:

  • Your email address
  • The council or region you chose
  • The date you asked for updates, the date you confirmed, and the wording you were shown at the time

We use your IP address only briefly, in memory, to limit abuse, and our systems do not store it. Our hosting providers (Netlify and Supabase) may keep standard server logs.

Card payment details are handled directly by Stripe and are never stored on our systems. Stripe does share your email address with us to confirm your purchase.

3. How We Use Your Information

We use your information to:

  • Provide an initial eligibility indication
  • Respond to your enquiry
  • Refer your details to an independent business rates specialist (where you request this)
  • Send you your free result by email and, if you tick the box to ask for them, occasional tips on reducing your business rates (you can stop these at any time)
  • Improve website functionality and performance
  • Send you email updates about the council or region you choose, when new figures or news are published (at most one email a week), if you subscribe and confirm. When you subscribe we also send one email asking you to confirm, and once you confirm we send one welcome email
  • If an email address cannot receive our emails (for example, it bounces), we stop sending to it and unsubscribe it.
  • Collect your feedback if you tell us whether a page was useful: we store your answer, the page it was about and any comment you choose to write, but not your name, email address or IP address
  • Maintain records of enquiries

We do not sell personal data.

4. Referral to Third-Party Specialists

If you choose to proceed following an eligibility result:

  • Your details may be shared with an independent business rates specialist for review.
  • If you give your annual rent and ask for a review, it is included in the details sent to the specialist. It is not used to work out your result.
  • The specialist will contact you directly regarding next steps.
  • Any agreement entered into is between you and the specialist.

We are not responsible for the actions, advice or services provided by third parties.

5. Lawful Basis for Processing

We process personal data on the basis of:

  • Consent – where you actively submit your details.
  • Consent – where you tick the box asking us to email your result and occasional tips. We only send these emails if you have ticked that box.
  • Consent – where you subscribe to email updates and confirm by pressing the button on the page our confirmation email links to.
  • Legitimate interest – to operate and improve our website and services.

You may withdraw consent at any time by contacting us, or for emails by using the unsubscribe link in any email we send.

6. Who We Share Data With, Where It Is Stored, and For How Long

We use the following providers to run the service. Each processes data only on our instructions:

  • Supabase: database and application functions, hosted in London, UK
  • Netlify: website hosting
  • Stripe: payment processing (Stripe also acts as an independent controller for fraud prevention)
  • Resend: sending our emails to you and to us (for email updates it only delivers the emails; we keep the list ourselves)
  • Ideal Postcodes: address lookup; the postcode you enter is sent to them to return matching addresses
  • Google Analytics: only if you accept analytics cookies

If you ask for a professional review, your name, contact details and property details are passed to an independent RICS-regulated rating surveyor, who then acts as a separate controller of that information and will contact you directly.

How long we keep your data

  • Free-check results and referral enquiries: 24 months from your last contact with us
  • Premium dashboard reports: 24 months from purchase, so your link keeps working for that period
  • Contact form messages: 12 months
  • Page feedback (your answer, the page and any comment): 12 months
  • Email tips list: until you unsubscribe. Your address is removed within 30 days of unsubscribing.
  • Email updates list: until you unsubscribe. Your address is removed within 30 days of unsubscribing. Sign-up requests you do not confirm are deleted within 7 days.
  • Payment records held by Stripe: as required for accounting purposes, up to 6 years

Data is deleted automatically at the end of these periods. You can ask us to delete your data sooner at any time by emailing hello@businessrateseligibility.co.uk.

7. Your Rights

Under UK data protection law, you have the right to:

  • Request access to your personal data
  • Request correction of inaccurate data
  • Request deletion of your data
  • Object to certain processing
  • Withdraw consent to marketing emails at any time, using the unsubscribe link in any email or by contacting us
  • You can withdraw your consent to email updates at any time using the unsubscribe link in any update email, or by emailing hello@businessrateseligibility.co.uk.
  • Lodge a complaint with the Information Commissioner’s Office (ICO)
